1. Purpose of this Statement

This Privacy and Cookie Policy tells you how Options collects and processes your personal data when you access www.options.co.uk (“ Website”).

2. Automated Collection of Personal Information

This information is processed to estimate how much usage of the server is made by different categories of users, and in the event of a breach of security may be used to aid detection.

Contact Us: The information which you voluntarily provide us through the ‘Contact Us’ page Website will be used for the purposes of satisfying your request such as responding to a query or providing an article or publication. We will only use your email address to respond to such query.

Event Registration Forms: If you choose to separately register via an Options’ Event Registration Form, we will collect certain information from you in order that we can send you the following information:

  • Contact you regarding the event which you attended and/or details of events which Options is organising, facilitating and/or attending.
  • Details of Jobs and Opportunities where we will provide you with details and links to new roles and opportunities in Options.
  • News of Options’ work and programmes including articles on results and publications.
  • The Options Newsletter which will be sent to you on a quarterly basis and which includes news on Options’ work as well as events and opportunities.

Registration: If you choose to separately register to receive information from Options via the subscribe link in the Website footer, we will collect certain information from you in order that we can send you the following information. You will not be required to complete all the fields but in the event that you do, this will enable us to tailor our communications to you.

  • Details of Events where we will provide you with information regarding events which Options is organising, facilitating and/or attending.
  • Details of Jobs and Opportunities where we will provide you with details and links to new roles and opportunities in Options.
  • News of Options’ work and programmes including articles on results and publications.
  • The Options Newsletter which will be sent to you on a quarterly basis and which includes news on Options’ work as well as events and opportunities.

We do not want to bombard you with emails and so we will try and limit our communications and updates to you no more than once or twice a month.

If you would like to request information that we hold about you, please complete this form. This is called making a Data Subject Access Request (DSAR) and is covered under UK data protection legislation.

4. With whom is the information shared?

We may use the following third-party service providers named below to process and store your data:

  • Mailchimp (The Rocket Science Group, LLC), which we use to manage email subscriber lists and send emails to our subscribers. Read their privacy policy at https://mailchimp.com/legal/privacy/.
  • Google LLC, which we use to manage and store the contact details collected from the Event Registration Forms and enables Options to contact you in accordance with section 3 above. Read Google’s privacy policy at https://policies.google.com/.

We may also disclose your personal information to our affiliates who assist us in fulfilling requests for information, receiving and sending communication or other services from time to time.

We may disclose personal information if required to do so by law, Court order or for the purposes of prevention of fraud or other crime or if we believe that such action is necessary to protect the rights of Options.

5. International transfers

Information that you submit via the Website may be transferred to countries outside the European Economic Area (“EEA”). By way of example, this may happen if one or more of our servers are from time to time located in a country outside the EEA or one of our service providers is located in a country outside the EEA. If we transfer your information outside the EEA in this way, we will take steps to ensure that your privacy rights continue to be protected.

This Website uses cookies. Cookies set by our Website can be read by our web server and may contain information you have provided to us for use in connection with the purposes outlined above. For example this Website typically serve:

  • session cookie – to see how long an anonymous user has used the site continuously
  • Linkedin and Sharethis buttons, google analytics (tracking) all set multiple cookies – these are known as 3rd party external cookies, but they are set via our site
  • any video services such as YouTube will serve cookies in order to display videos
  • a general cookie called has_js is placed to tell our website whether javascript is enabled in your browser. Javascript is required for a lot of the advanced UI we use like interactive menu, flip book effect, slideshow, scrolling and many more.
  • a cookie to enable our Sharing function

Managing cookies in your browser – most modern browsers will allow you to:

  • See what cookies you’ve got and delete them on an individual basis.
  • Block third party cookies.
  • Block cookies from particular sites.
  • Block all cookies from being set.
  • Delete all cookies when you close your browser.

You should be aware that any preferences will be lost if you delete cookies. Ironically, this includes where you have opted out from cookies, as this requires an opt-out cookie to be set.
