Scope

Options Kenya invites sealed bids from legally registered insurance companies and brokers in Kenya for the provision of staff medical insurance cover for the period (14 April 2025 -13 April 2026). Options Kenya reserves the right to accept or reject any, all, or part of submitted bids.

Language

As determined by Options Kenya, the working language of this bid is English. Other languages will not be accepted.

Source of financing

The project is financed by Options Kenya.

Qualifying criteria and conditions

The main criteria for admission are as follows:

a) Company profile
b) Certificate of registration
c) AKI or IRA registration certificate
d) Tax compliance certificate
e) Good track-record and references from previous clients (not less than 5 corporate clients with their geographical distribution/location)
f) Recognized bank account (Options Kenya will make all payments through bank transfers)
g) Copy of current trade license
h) Duly completed bid form
i) Duly completed medical underwriting summary (Premium rates clearly outlined)
j) Payment terms and conditions

Proof of the above MUST be provided.

Sealed bid basis

  • All bid documents must be completed in full, or the application will be disqualified.
  • It is intended by the Options Kenya to invite bids for lump-sum contracts only.
  • If applicants have any additional request and conditions, this shall be stipulated in a separate letter accompanying the bid.
  • Each applicant may make one bid only.
  • Each bid shall be valid for the period of 90 days from the date of submission.
  • All prices must include all taxes, compulsory payments, levies, and duties, including VAT.

Scope of works

The scope of works concerns provision of staff medical insurance cover.

Payments

Payments will be made in KES based on annual premiums. Options Kenya will make payment of premiums annually in advance at the beginning of the policy period.

Eligibility of applicants

Applicants cannot apply if they:

  • Are not registered companies.
  • Are bankrupt or in the process of going bankrupt.
  • Have been convicted for an offense concerning professional conduct.
  • Have been guilty of grave professional misconduct (proven by any means which the contracting authorities can justify).
  • Have not fulfilled obligations related to payment of social security and taxes.
  • Are guilty of serious misinterpretation in supplying information.
  • Are in situations of conflict of interest (with prior relationship to project or family or business relationship to parties on Commission).
  • Are on any list of sanctioned parties issued by the UK Government.

Bid delivery

All sealed bids will be delivered in standard format to Options Kenya in a sealed envelope and by the date stated in bid documents. The envelope will be clearly marked with the precise reference of the invitation to which it is a response. The applicant’s name MUST not appear on the envelop. Bids delivered after the specified time will not be accepted.

The bid submission deadline is 6 January 2025, 16:00 hours. The bid documents MUST be delivered at Options Kenya Office located at 197 Lenana Place, 2nd Floor, Lenana Road, Nairobi, Kenya.
